OneDrive on a laptop: prepare files before working offline

A filename in File Explorer does not establish that its content is on your laptop. Prepare the right documents before travel or a customer meeting.

You see a quotation in File Explorer and assume it is ready for a customer visit. At the destination, there is no connection and the file will not open. With OneDrive Files On-Demand, a visible filename does not necessarily mean its content is stored on the laptop. Prepare a small working folder before leaving instead of discovering the difference at the meeting. Offline access and a recoverable backup are separate questions.

1. Read the status beside the document

Microsoft's OneDrive icon guide distinguishes a blue cloud for online-only files, a green check for locally available files and a solid green circle for always-available files. Online-only content needs a connection to open.

        Microsoft distinguishes Free up space from deletion: making a file online-only preserves it on OneDrive, while deleting a synchronized file can remove it there and on other devices. Do not choose Delete merely to remove a laptop's downloaded copy.

        After the visit, reconnect and review the state of edited documents. Keep offline preparation separate from a recoverable-copy plan.           5. Compare laptops with your intended document set

          Use non-confidential samples to inspect readable text, controls and the space you need locally.
