An advanced Excel laptop: Windows or Mac and what to test

Opening a workbook does not verify its macros, queries or add-ins. Choose around representative files and the exact Excel version before hardware.

Replacing a laptop can mean continuing to use years of company spreadsheets, export buttons, folder queries and private add-ins. More processing power does not automatically resolve compatibility. The key question is whether the new Excel environment completes the workflow, rather than simply opening the document. Establish that before choosing memory, display size and budget.

Identify three representative workbooks

Choose a daily file, the largest file and one with specialised functionality. Record the Excel edition, licence, data sources and add-ins. XLSM suggests asking about macros but does not reveal their dependencies. A report displaying complete figures may only contain previously saved results rather than a query that works on the replacement computer.

Ask IT for a sanitised sample retaining the structure needed for testing. Define expected row counts, a reconciliation total, export name and output location. Do not bring complete payroll, customer records or stored credentials to a showroom computer.

    Match features and versions, not platform stereotypes

    Microsoft Power Query for Mac guidance covers Microsoft 365 Excel and the query editor on supported versions. It is incorrect to assume Mac has no Power Query. However, Microsoft analytics guidance notes platform differences, so verify the connectors and features required by the actual workbook.

    Excel for the web cannot create, run or edit VBA macros. Browser file opening is therefore not a substitute for a desktop automation test. For a company add-in or macro, ask its developer about platform support and test it. More RAM or a new Office licence does not repair unsupported dependencies.

      Complete the report, not just the first step

      In an authorised environment, refresh the sample from test data and check row counts, dates, decimal handling and a reconciliation total. Run only automation cleared by IT, export the report, close it and reopen the result. Include PDF output or printing if they are regular deliverables.

      Record errors and the step where they occur. Network-folder permissions, changed paths, absent add-ins and unavailable features require different solutions. Do not disable all macro protection or enter production credentials on shared devices. Compare computers with the same Excel version, workbook and test data.

      • Refresh and reconciliation produce the expected results.
      • Approved macros or add-ins complete required operations.
      • Exported and reopened reports retain the required layout.

      Evaluate memory and ergonomics after compatibility

      Once the workflow runs correctly, observe memory with normal workbooks, browser tabs and meetings open. Large queries and simultaneous applications may warrant more than 16GB; 32GB is not a guarantee for every workbook either. Base CPU spending on a test rather than using it to address broken links or unsupported software.

      Read long column names at familiar scaling and enter a sequence of numbers. A larger screen offers a different layout but does not establish comfort for your eyes or typing habits. Include working datasets, temporary files and backups in storage planning, plus an external display or number pad if actually needed.

        Choose the verified workflow

        If the company workflow is established on Windows and a required add-in lacks a verified Mac alternative, retaining Windows can reduce migration work.         Check whether Office licensing is separate or explicitly included. An operating system does not establish that licensed Excel is bundled.           For advanced Excel, buy around a verified workbook rather than a generic office specification. Windows fits dependencies confirmed there; Mac remains an option when the complete Mac workflow passes. The goal is an accurate final deliverable, not merely a spreadsheet that opens successfully.
